SUMMARY OF ROLE

The Safeguarding Administrator provides dedicated administrative support to ensure the smooth planning, coordination and delivery of safeguarding training across the organisation. The role ensures accurate training records, effective communication with learners, high‑quality logistical support for trainers, and timely reporting of compliance. This position is central to supporting a robust safeguarding culture by ensuring all staff and volunteers have access to mandatory and refresher training.


The safeguarding administrator will also provide high‑quality administrative and organisational support to the National Safeguarding Manager.


ROLE RESPONSIBLILTIES

Safeguarding Training Coordination

  • Schedule, organise, and coordinate all safeguarding training sessions.

  • Manage the safeguarding training calendar and ensure sessions are published and communicated ahead of time.

  • Liaise with the Safeguarding Manager and safeguarding trainers to confirm availability, venues, materials, and session requirements.

  • Prepare and send training packs, attendance sheets, and resource materials to trainers in a timely manner.

Learner Communication & Support

  • Manage training-related enquiries and provide professional, timely responses.

  • Send invitations, joining links, pre‑reading, reminders, and follow‑up information to attendees.

  • Support staff and volunteers who experience technical issues accessing training.

Training Record Management

  • Maintain accurate safeguarding training records in the organisation’s systems (Excel, Volunteer CRM, HR Learning Records, SharePoint etc.).

  • Update attendee lists, course completions, cancellations, rescheduled sessions outcomes.

  • Ensure all records meet GDPR and confidentiality standards.

Compliance Monitoring

  • Track compliance with mandatory safeguarding training across staff on volunteer departments.

  • Generate quarterly compliance reports for the National Safeguarding Manager.

  • Flag non-compliance and overdue training to managers and volunteer leads, in line with organisational processes.

  • Support audits, quality reviews, and data checks to ensure training records are accurate and complete.

Quality Assurance & Continuous Improvement

  • Collate learner feedback and identify patterns that support improvements in training delivery.

  • Assist in updating training content, slides, and materials when directed by safeguarding leads.

  • Support the implementation of new training systems or processes.

Organisational

  • Work actively towards the achievement of the Irish Red Cross goals.

  • Undertake training and development as required

  • Abide by and uphold the Principles of the International Red Cross Red Crescent Movement.

  • Undertake any other reasonable work-related duties and responsibilities assigned by the relevant line manager that are consistent with the nature of the job and level of responsibility.

ROLE REQUIREMENTS

Essential

  • Strong administrative experience, ideally in training, HR, compliance, or safeguarding.

  • Excellent organisational and scheduling skills with an ability to manage multiple training sessions simultaneously.

  • Strong communication skills with a friendly, supportive approach to learners.

  • High level of accuracy in data entry and record‑keeping.

  • Confidence using Microsoft 365 (Teams, Excel, Outlook, SharePoint) and LMS/CRM platforms.

  • Ability to manage confidential information professionally.

  • Good problem‑solving skills, especially with scheduling and learner support.

  • Experience in coordinating national training programmes or events.

  • Fluent written and spoken English.

Desirable

  • Experience with e‑learning systems, HR databases, or training management software.

  • Experience working in sectors that provide services to children or vulnerable adults (e.g., Humanitarian NGO, education, health, social care, youth work). 

  • Understanding of safeguarding policies and best practice frameworks. 

  • Integrity and strong sense of responsibility. 

  • Commitment to promoting safe working environments. 

  • Ability to work independently and collaboratively.

  • Flexibility may be required during periods of high training demand.

  • Safeguarding training will be provided.
